Terms of Service

These terms are an agreement between you and Chief Staffer, Inc., a Delaware corporation (“Chief Staffer”, “we”). You agree to them by ticking the box on the sign-in page. You may use Chief Staffer for anything, within Acceptable Use below, including keeping the people and organizations of your personal life in your own room, as described under Information About Other People. You must be at least 18 years old and able to enter into a binding contract. Chief Staffer is not for children: no one under 18 may have an account or use it. If you use Chief Staffer for an organization, you confirm that you are authorized to accept these terms for it.

Service Description

Chief Staffer gives the AI application you already use a working model of your business: its roles, procedures, templates and vocabulary. It is offered in two ways. As a private room that we host and your AI connects to: you sign in and try it free, then start a 14-day free trial with a card, and then, unless you cancel before the trial ends, a subscription that renews automatically until you cancel, as described under Subscriptions, Billing and Cancellation. And through an engagement, in which we work with you and either hold your business information for you or set Chief Staffer up on your own machines, as we agree with you at the start. Chief Staffer works with AI applications you license separately from your AI provider.

Subscriptions, Billing and Cancellation

Signing in gives you a short free first look, with no card. The free trial lasts 14 days and starts when you add a card through Stripe: you are not charged until the trial ends, and you can cancel before then at no charge. When you start it, you choose a monthly plan (99 USD a month) or a yearly plan (594 USD a year), charged in advance from the day the trial ends. A trial that began without a card, before cards were asked for, runs to its original end unchanged; to keep going after it, add a card before then. If you have already had a free trial, subscribing is charged at once. Your subscription renews automatically at the end of each month or year, at the price you agreed to, until you cancel.

You can cancel at any time, online, in one click: ask your AI to “cancel my subscription” in Chief Staffer and open the link it gives you. Cancelling during a free trial costs nothing. Cancelling stops the next charge; you keep access until the end of the period you have already paid for. If you cancel a paid subscription, we may offer you one free month (on a yearly plan, 49.50 USD off your next renewal) to stay, once; declining it still cancels. To update your card or change plan, use the billing portal.

If we change the price of your plan, we will email you between 7 and 30 days before the new price first applies to you, and you can cancel before then. If you cancel within 14 days after a new price first applies, we will refund the unused part of that period.

A founder plan, discount or promotion applies as stated when we give it. If it ends, we will not charge you a price you have not agreed to.

Account & Access

You are responsible for keeping secure the phone number or email address you sign in with, the AI application accounts Chief Staffer works with, and, where Chief Staffer runs on your own machines, those machines. You must be authorized to provide the business materials you put into Chief Staffer on behalf of your organization.

Information About Other People

Your room can hold other people: the people your work relies on and, if you choose, the people and organizations of your personal life, such as your family, your friends, or your children’s school and teachers. Your AI records someone from your personal life only when you ask it to. You are responsible for what you record about other people, including a child whose name you add as their parent or guardian: record only what you have the right to record and a reason to keep, keep it accurate, and delete the record when you no longer need it or when they ask you to and you have no right to keep it. Deleting a person erases their record entirely, as the Privacy Policy describes.

Your room is yours to control. You change your own drafts and notes, and you can delete a person. Chief Staffer does not edit, prune or remove anything you have put in your room: we either keep your room or delete it whole. If someone asks us to remove information you have recorded about them, we will pass the request to you, because the decision is yours. The one exception is where the law requires us to act on, or to hold onto, specific content, such as a court order or a legal request to preserve it: we then do only what that requirement demands, for only as long as it lasts, and tell you unless the law forbids it. If your room breaks these terms, we may suspend it or end this agreement as described under Termination.

Acceptable Use

You agree not to:

  • Use the service to send spam or unsolicited communications
  • Attempt to access other users' data or systems
  • Reverse-engineer, decompile, or extract the service's AI models
  • Use the service for any illegal purpose
  • Record information about another person that you have no right to hold, or use Chief Staffer to track, profile, harass or harm anyone
  • Exceed reasonable usage limits or attempt to degrade service performance

If you connect your own AI assistant to our MCP server, these terms apply to you as if you had sent the request yourself, and we may rate-limit or block automated traffic that degrades the service.

Data Handling

What you put in your private room is held by us to run the service. It can be read only by you and by Chief Staffer staff helping you or handling a request about a person recorded in it, as the Privacy Policy describes; our service providers store and process it only to run the service, and your own AI receives what it asks for when it calls Chief Staffer. We do not use it to train AI models, and we do not sell it or share it for advertising. Where Chief Staffer runs on your own machines, your business data stays there, and we access it only with your explicit authorization (for example, during a support session you request). Improving Chief Staffer

We use records of how Chief Staffer is used, as the Privacy Policy describes, to run and improve it. While “Help improve Chief Staffer” is on for a room (it is on unless you turn it off, and starts only when the setting is available in your room), you allow us to use the content the Privacy Policy describes for the same purpose, and you confirm that you have the right to share it with us for that purpose. We will not use your content to train AI models, sell it, or show it to other members. If you send us ideas or feedback, we may use them without owing you anything.

Unless we have agreed otherwise in writing, Chief Staffer is not built to hold protected health information or other regulated records about your patients or clients. Do not put them in a room, and turn “Help improve Chief Staffer” off in any room that holds any.

Intellectual Property

You retain ownership of all data and content you provide to Chief Staffer and all documents produced for you. We retain ownership of the software, its document libraries and configurations, and any improvements we make from what we learn about how Chief Staffer is used, as the Privacy Policy describes, none of which contains your content itself.

Limitation of Liability

Chief Staffer is provided "as is." We are not liable for any indirect, incidental, or consequential damages arising from your use of the service. Our total liability is limited to the amount you paid for the service in the preceding 12 months.

Termination

Either party may terminate this agreement at any time. When a subscription ends, or a free trial ends without one, your room’s tools switch off and support ceases. What is in your private room is not deleted automatically: ask us, and we delete your room whole and write back to confirm when it is done, keeping only the records we need to run the business, as the Privacy Policy describes, except where the law requires us to hold it instead, as its Data Retention section explains. Where Chief Staffer runs on your own machines, your business data and produced documents remain there and in your possession.

Changes to Terms

We may update these terms from time to time. We will tell you about a material change at least 14 days before it takes effect: by email to the address you signed in with or gave us, or, if we have no email address for you, in your room, where your AI shows it the next time it connects. The updated terms apply from the date we give; if you do not agree to them, you can cancel before then. A change to the price of your subscription follows Subscriptions, Billing and Cancellation.
